Administrative and Director Assistant role open for applications.

This is an exciting opportunity to join our dynamic team as the Administrative and Director Assistant, a key role to our operation and success.
We are looking for a superbly organised, self-motivated, experienced administrator to work on a full time basis. Ideally you would have an interests in Polish culture and heritage, as well as a previous experience in a similar role.

Based in London, the Polish Cultural Institute is a part of the diplomatic mission, dedicated to showcasing contemporary Polish culture for Britain’s multicultural audience, particularly in London as it is truly the leading global cultural capital. Our programme covers the visual arts, film, theatre, music, literature, history and heritage.

Role Description:

Provide administrative support to the Director, Deputy Director and other team members when required, including processing invoices, ad hoc research, expenses, booking meetings, maintaining and archiving documents, and preparing agendas and minutes. There will also be opportunities to assist in planning and implementing key projects created by the team, as well as event management.
You will be the PCI office’s first point of contact for email and telephone enquiries, including communication with the British and Polish partners.
Professional manner, passion for culture and dedication is crucial for this role.

Essential experience and skills:

Previous experience in an administration role.

Excellent administrative and organisational skills.

Interest in the arts, culture and heritage.

Good team-working and interpersonal skills.

Strong and confident communicator.

Self-starter; ability to perform to a high standard without supervision.

Excellent attention to detail.

Ability to work under pressure and meet deadlines.

Problem solving skills, resilience and adaptability.

Excellent IT and word processing skills (must be advanced in Word, Outlook, Excel & PowerPoint).

Ability to perform ad hoc research and assist in planning and implementing projects.

Positive, friendly and approachable when dealing with a wide range of staff and partners at all levels.

High proficiency in both English and Polish languages is essential.
